HMCPD Terms and Conditions and information on how to book
How to Book
To make a provisional booking, delegates should click ‘register’ on the relevant course page. You will then be invited to create an account, or sign in if you have booked on our courses before.
Delegates should then provide all relevant school and personal information in the required fields. This information includes school contact information for future correspondence (e-mail address and phone number), together with a personal contact number for the purposes of HMCPD being able to contact delegates at short notice in the event of an emergency (e.g. extreme weather conditions). Delegates should also indicate if they have any special dietary requirements. Provisional bookings may be cancelled within 5 working days and thereafter will be deemed binding. Confirmation of booking will be sent to delegates by e-mail after this point and an invoice will be raised for the course and sent to the school finance department. Course materials will be downloadable from the HMCPD website (www.hmcpd.org.uk) approximately a week in advance or will be distributed at the event.
Delegates should ensure that they have read and understood the Conditions of Booking before submitting a booking and they have the proper authority from the appropriate person in the school to accept these conditions.
Methods of Payment
Payment of the course/conference fees must be made in advance. Payment can be made by cheque, made payable to ‘HMCPD’ and sent to ‘HMCPD’, 12 The Point, Rockingham Road, Market Harborough, Leics. LE16 7QU, or by BACS direct transfer, where the school has a prior arrangement with HMCPD to do this.
An invoice will be issued in all cases and will be sent to the school finance office. This will specify the HMCPD course or conference reference number, the date of the event, the date of the booking, the name of delegate and an official Invoice Order Number. This Invoice Order Number should be quoted when payment is made. Invoices must be settled within 28 days and usually in advance of the training course unless otherwise agreed. Please note that a booking is not secured until payment is received.
All delegate fees quoted are exclusive of VAT, which is not applicable.
Bookings may be cancelled in writing by post, by telephone or by e-mail. In the event of cancellation, a refund of 75% of the course fee may be given up to 8 weeks before the course and 50% up to 4 weeks before the course. After that time no refund can be given. In the event of a course being cancelled, HMCD will refund fees but cannot accept liability for the reimbursement of delegates’ travel expenses.
Cancellation due to extreme weather conditions
In the event of cancellation due to extreme weather conditions, a full refund of the course fee will be provided where delegates are unable to attend any alternative date(s) offered for the course or conference. In the event of cancellation due to extreme weather conditions, HMCPD will notify delegates using personal contact numbers provided at the point of booking no later than 24 hrs before the published registration time for the event. HMCPD will accept no responsibility for pre-booked travel or accommodation costs of delegates.
Course Content and Programme Schedule
HMCPD reserves the right to alter the advertised schedule of courses, which may include cancellation of a course. Where HMCPD cancels a course, individuals with confirmed bookings on that course will be offered alternative dates. If none can be provided then a full refund will be given.
HMCPD reserves the right to alter or amend the advertised content of any course without notice in order to continuously provide a high quality service or due to circumstances beyond our control. HMCPD will not be liable for any losses or expenses, including consequential, arising from any such alterations or amendments to the programme content and schedule including cancellation.
From time to time, HMCPD may arrange for photographs to be taken at courses and events, which are then used on our website and occasionally in HMC publications. If you do not wish to be included in such photographs, please let the event organiser or course director know.
