A fantastic opportunity has arisen for an exciting new post designed to support the administration and delivery of a range of HMC and HMC Professional Development (HMCPD) conferences and events. Primarily these are the HMC Annual Conference and HMC Spring Conference for Heads in membership of HMC, and HMCPD’s programme of courses and conferences for Heads and other staff working in HMC Schools.

We are looking for an organised and professional events coordinator to join the national association of headmasters and headmistresses (HMC) in our Member Services team. This role will be key to helping the HMC Professional Development & Events Manager to administer and support delivery of provision in an innovative way, ensuring that the unparalleled quality of training and professional development for teachers and leaders in our schools is maintained.

The appointment comes at an exciting point in the association’s development as it reviews its internal structures and operations in a post-Covid world.

The main purpose of the job is to support the administration and delivery of a range of HMC and HMC Professional Development (HMCPD) conferences and events. Your key responsibilities will include:

  • Supporting annual planning; including selecting and booking venues, booking speakers and course directors for designated events, to enable the delivery of events
  • Contributing to the delivery of high-quality course and conference programmes; setting up and supporting online courses and conferences, using software such as Zoom and Teams
  • Attending a range of courses and conferences online and around the UK to support effective delivery (this will involve some overnight stays and occasional weekend working)
  • Maintaining and producing reports from the HMCPD management information system and other databases
  • Undertaking administration associated with the booking of places on courses and conferences, using HMCPD’s management information system
  • Preparing and distributing delegates’, speakers’ and exhibitors’ materials for courses
  • Dealing with telephone and email enquiries to a high level, responding quickly and efficiently and demonstrating high levels of customer service
  • Administering exhibitions at HMC/HMCPD’s conferences, including booking exhibition space for exhibitors, exhibitor and sponsor communications, liaison with exhibitors and sponsors before, during and after events
  • Reviewing and improving ways of working and processes, to ensure that PD and events are run efficiently and effectively
  • Contributing to the continuous improvement of HMC/HMCPD conferences and events by creating evaluation forms and surveys, and providing feedback to course directors and speakers

The right candidate must have:

  • Significant and demonstrable experience in an administrative role, including administering projects and operational plans.
  • Excellent organisational skills, with the ability to prioritise own workload, manage several tasks and projects simultaneously; and to ensure deadlines are met.
  • Excellent IT skills
  • Excellent communication skills, both written and oral and able to build constructive relationships with colleagues and stakeholders
  • Ability to use initiative and to take a pro-active and solution-focused approach to problems.
  • Attention to detail and ability to produce work to a high level of accuracy
  • A willingness to be flexible towards duties and adaptable to change, with a ‘can do’ attitude.
  • A commitment to the principles of excellent customer service
  • Ability and willingness to undertake occasional evening / weekend work and occasional travel and overnight stays within the UK, with notice.
